Hotel Information

Requesting a Hotel Room

A block of hotel rooms has been reserved at Eau Palm Beach Resort & Spa for the group. To reserve a room, you must submit a hotel request during event registration.

Do not contact the hotel directly to reserve a room.

BenefitMall will pay for 3-nights of your hotel room costs. Additional room nights may be available subject to hotel availability. 

Upon check-in at the hotel, you will need to provide a personal credit card for any incidental expenses.

If you need to cancel your hotel room, please contact BenefitMall Events directly by March 14. We'll do our best to avoid additional fees with the hotel, but you may be billed hotel room charges for canceled rooms or no-shows after March 14.

Travel Information 

 

You should plan to arrive at Eau Palm Beach Resort and Spa by 3:00 PM on Sunday, April 6, 2025.

• If driving to the event, plan to arrive at Eau Palm Beach Resort and Spa by 3:00 p.m. on Sunday, April 6. Those flying should book flights to arrive by 3:00 p.m.

Departures should be planned for anytime on Wednesday, April 9.

Eau Palm Beach Resort and Spa is about 20-minutes from Palm Beach Airport (PBI) and 40-minutes from Ft. Lauderdale International Airport (FLL)

BenefitMall Brokers

• BenefitMall will cover the cost of roundtrip economy airfare to Palm Beach (PBI) or Ft. Lauderdale International Airport (FLL). You will complete your air travel request during the registration process. Please note, you will not be reimbursed for flights not made through our travel partner. 
• BenefitMall will also provide you with an UBER voucher code to use for your airport transfers. Please keep an eye out for this code in your KBYG (Know Before You Go) email that you will receive closer to the event.

BenefitMall Teammates

• You will be responsible for making your own flight arrangements and airport transfers. For those BenefitMall Teammates bringing a guest, you are responsible for their airfare. You will be able to submit the costs of the qualifier airfare through normal expense report procedures. Please contact your manager with any questions regarding reimbursements.

 

Self-parking is $39 plus tax per day, per vehicle and is not covered by BenefitMall.

When should I plan to arrive and depart?

You should plan to arrive at Eau Palm Beach Resort and Spa by 3:00 PM on Sunday, April 6, 2025

What if I cannot attend the incentive trip this year?

We hope you make every effort to join us this year. Unfortunately, if you decide not to attend, BenefitMall is not able to offer a reward in place of the trip. The trip is only offered on program dates, April 6 – April 9, 2025. Please officially decline by clicking the link in your invitation email.

 

Are guests invited to any events?

You are allowed to bring one (1) guest to share in your celebration. This guest is defined as your spouse, domestic partner, family member, or friend, who is at least 21 years of age. Please note that you are not allowed to invite another employee as your guest unless they are your spouse, domestic partner, or you are engaged to be married.

 

May I bring additional guests or children under the age of 21?

No. Additional guests or children under the age of 21 are not allowed to attend.

 

Can I share this invitation with coworkers and colleagues?

No. The 2025 BenefitMall Summit is invitation only.

 

What is included in the program?

Brokers

• Round-trip economy class air (booked by completing air request form during registration)
• Resort accommodations (one sleeping room), all taxes, housekeeping gratuities, and porterage at Eau Palm Beach Resort and Spa for the program dates of April 6 – April 9, 2025.
• One (1) optional activity per person for you and one (1) guest offered on April 8.
• All planned group functions as noted on the daily itinerary.
• All taxes and gratuities for hosted program events.
• UBER voucher to be used for your round-trip airport transfers

BenefitMall Teammates

• Round-trip economy class air (booked on your own and reimbursed through company expense report)
• Resort accommodations (one sleeping room), all taxes, housekeeping gratuities, and porterage at Eau Palm Beach Resort and Spa for the program dates of April 6 – April 9, 2025.
• One (1) optional activity per person for you and one (1) guest offered on April 8.

Activity Information

You will have the choice of one (1) sponsored activity on Tuesday, April 8. Information about each activity can be found on the Event Website. During registration you will make your activity selection for both you and your guest. 

 

What is the dress code?

All events are resort casual and jeans are welcome. 

• Beach Casual: Swimsuits with cover-ups, sunhats, open-toe shoes, and flip-flops allowed.
• Resort Casual: Informal and comfortable, yet clean and professional. Examples include jeans, shorts, polo shirts, plain t-shirts, blouses, and sundresses. Practical footwear (no flip-flops) for men, flats, and open-toe sandals for ladies.
• Smart Casual: Combines well-fitting, polished business wear with elements of casual attire. Examples include dark-washed jeans, trousers, chinos, blouses, polo shirts, button-downs, dresses, and skirts. Closed-toe shoes for men and heels/wedges for ladies (no flip-flops). Shorts are not allowed.

**Please note, we will be hosting our Farewell Dinner at the National Croquet Center. Be sure to dress in your best whites or brights

 

How do I book and pay for my hotel room?

Attendees who wish to reserve a room at the hotel will need to submit a hotel request during event registration. Do not contact the hotel directly to reserve a room.

• BenefitMall with cover the room and tax for three nights, Sunday April 6 to Wednesday, April 9, 2025
• If you wish to extend your stay the cost is $559 per night (plus tax and resort fee) and is subject to hotel availability

 

How do I book my airfare?

Brokers

BenefitMall will cover the cost of round-trip economy class air for you and your guest. In order for airfare to be covered by BenefitMall, please complete the air request form. BenefitMall will not cover the cost of airfare not booked outside of our travel partner. 

BenefitMall Teammates

Please book your airfare and submit for reimbursement through company reimbursement procedure. 

 

How will I get from the airport to the hotel?

What information is required to travel?

Print the flight itinerary from the flight booking email sent to you and/or save it to your smartphone, or confirm the flight appears in your mobile app for the applicable airline. Boarding passes should be printed in advance from airline confirmation emails or pulled up electronically on your smartphone. Be sure to bring the photo ID that matches the name on the reservation with you to the airport.

 

For BenefitMall, what documentation is required to submit with expense reports?

You will submit all business-related expenses through normal reimbursement procedures. Please contact your manager with any questions regarding reimbursement.

 

Will I be receiving a 1099 for this event?

No. Unlike years past, this will not be a taxable event in 2025.
